Explain the proposal in plain language
Tell the owner who your business is, who will occupy the property, the proposed use and how you will manage it. Share a credible budget, references where available and evidence of your ability to fund commitments. A professional proposal should be specific to the property.
If you call the arrangement guaranteed rent, explain what is actually guaranteed, by whom, for how long and subject to what terms. Your contractual promise is not automatically an insurance policy or government-backed payment.
Make responsibilities concrete
Agree what happens when a boiler fails, a resident leaves or a council asks for information. Name contacts and response processes instead of relying on “fully managed” wording. Record what requires owner approval and who can authorise emergency spending.
Keep consent evidence available to both parties. An operator arrangement does not automatically remove the owner’s legal exposure; licensing and rent repayment rules can affect more than one person in the chain.
Report the figures that matter
Give a consistent monthly account of the owner’s rent and agreed deductions, with invoices or evidence where appropriate.
- Rental period, contractual amount and due date.
- Actual payments, dates and any remaining balance.
- Separately approved deductions and their basis.
- Important repair updates and outstanding actions.
- The next review or renewal requiring a decision.
Protect confidence through a clean handover
Agree how keys, property condition, documents and existing occupiers will be dealt with at the end. Do not offer a vacant possession guarantee without assessing the lawful route. Keep the latest signed terms available to the people managing the property.
