Scale the process before the property count
One profitable property does not prove that a larger portfolio can run without you. Write down the routines that keep it safe and solvent. Define who collects rent, pays owners, handles repair calls, reviews evidence and covers absence.
Track real margins by property rather than celebrating gross rent. More rooms can increase workload and fixed commitments faster than surplus. Add a property only when funds, suppliers and staff can support its downside as well as its launch.
A workable weekly review
Use a short repeatable review with owners for decisions and named staff for follow-up.
- Reconcile receipts and investigate unpaid or misallocated rent.
- Check owner payments due and available cash.
- Review new repair reports, hazards and overdue work.
- Check evidence deadlines, follow-ups and document delivery.
- Review occupancy changes, complaints and unresolved decisions.
Close each month with an explanation
Compare earned rent, actual receipts, owner costs and expenses. Explain one-off work and recurring variances. Send agreed landlord statements and keep the underlying payment records. Export records for an accountant to review formal accounts and tax.
Avoid changing historic transactions simply to make a report look right. Keep corrections and approvals traceable. Protect private bank and identity details, restrict staff access appropriately and arrange a suitable backup process.
Review your role as services expand
If you also carry out letting or property-management work for other owners, assess whether agent redress and client money protection rules apply. In England, holding clients’ money as a qualifying agent can require a protection scheme; it is different from deposit protection.
