Manage repairs, expenses and landlord deductions

Separate your business costs from costs the agreement allows you to recover.

  1. Record the work and cost

    In Expenses & repairs, select the property, describe the work, supplier, invoice date and amount. Attach the invoice or receipt, set responsibility and use Tasks for follow-up deadlines.

  2. Record actual payment

    After paying the supplier, record the real paid date, method and reference. An invoice and a payment are different events; keep both correct.

  3. Review recovery authority

    For a landlord-recoverable cost, retain contract authority and approval evidence. The owner reviews and approves it. Costs are not automatically recoverable just because they relate to a property.

  4. Apply the approved deduction

    Choose a matching outstanding landlord rent charge and apply the approved, paid cost. Check the remaining landlord balance and preview the statement. The system blocks duplicate offsets and deductions larger than that balance.
